How it works
Run a civil site from morning muster to month-end billing — in one place.
Today, attendance lives in a paper register, progress photos in WhatsApp groups, and the BOQ in Excel. Here’s what the same working day looks like when everything is captured once — at the source — and everything else flows from it.
A day on site
A day on site with ProjectSathi.
How to manage a construction site daily — without the paperwork chasing you home. Six moments from an ordinary working day, and what each one looks like inside the product.
- 6:30 AMSite supervisor
Muster at the gate — before the first mixer turns
Anil, the supervisor at Nirvana Tower, opens the app as labour walks in. There's no network at the basement gate — it doesn't matter. Every check-in is stamped with GPS location, photo, and time, stored offline, and synced the moment the phone finds signal. By 7:00 AM, 24 of 28 are marked in — and that same record will run payroll at month-end.
- 9:00 AMSite engineer
Cement is running low — the request takes ninety seconds
The site godown shows 96 bags of OPC 43 — below the reorder threshold. The site engineer raises a material request for 400 bags from the app, against the BOQ item it will be consumed on. The PM gets a notification and approves in one tap; the approved request moves to the vendor with a full audit trail. No phone calls, no “bhaiya, urgent hai” on WhatsApp.
- 11:30 AMSite supervisor
Slab casting on Block A, logged as it happens
The supervisor files the daily progress log from the pour itself: work done, manpower deployed, materials consumed, blockers — with geo-tagged photos attached. The day's weather is captured automatically alongside. Months later, that same log backs an EOT claim with dated, located evidence instead of a hunt through WhatsApp groups.
- 2:00 PMProject manager
Approvals cleared, slippage spotted, crew moved
Back on the web console, the PM clears six pending approvals — two material requests, a leave application, an expense claim — then opens the Gantt. Footing work on the NH-48 Bypass package is tracking three days behind the critical path. He re-sequences the shuttering crew before the delay compounds into a fortnight.
- 5:30 PMOwner
The MIS is already done — nobody compiled it
The owner opens the dashboard over evening chai: progress vs plan on every site, cash position, pending receivables, and material variance — refreshed from what supervisors and engineers logged through the day. The nightly round of phone calls to five site offices is gone.
- Month-endFinance
The RA bill and payroll build themselves from the month's data
Certified measured quantities flow into an RA bill with CGST/SGST computed line by line — no retyping from field books into Excel. Payroll runs off the same attendance captured at the gate every morning, with PF, ESI, PT, and TDS calculated automatically and a bank-ready NEFT file at the end.
Before & after
The same site, run two ways.
Daily site management on paper, WhatsApp, and Excel — against the same six workflows on ProjectSathi.
On paper, WhatsApp & Excel
- Attendance
Paper muster register at the gate; disputes at month-end over who was present on the 14th.
- Material tracking
Challans in a diary, stock counted from memory; shortages discovered when the mixer stops.
- Daily reporting
Progress photos scattered across four WhatsApp groups; no site, date, or location record when you need it.
- RA billing
Measurements retyped from field book to Excel to the bill format; every RA bill takes weeks of back-and-forth.
- Payroll
Attendance re-entered into Excel; PF, ESI, and TDS worked out by hand every cycle.
- Owner visibility
Evening phone calls to every site office, and an MIS that lands ten days after month-end.
One system, one record
- Attendance
Geo-stamped, photo-backed check-ins that work offline and sync themselves — one record from gate to payslip.
- Material tracking
Live per-site stock with reorder alerts that fire before you run out — every request audit-trailed.
- Daily reporting
Geo-tagged daily logs with weather auto-captured — searchable by site and date, ready for EOT claims.
- RA billing
Certified quantities generate a GST-ready RA bill — measured once, billed from the same record.
- Payroll
Payroll runs off actual site attendance with statutory deductions auto-calculated and bank files generated.
- Owner visibility
A live dashboard across all sites — progress, cash position, and variance, refreshed as the day is logged.
What changes
What the platform does for the day-to-day.
Progress, headcount, and spend roll up across sites automatically — the report compiles itself while work is logged.
Certified quantities flow straight into a GST-ready RA bill draft — no retyping measurements between formats.
Requested vs received vs consumed reconciles per site, per day — variance shows up before month-end, not after.
Attendance flows into payroll, measurements into billing. Data is captured once, at the source, and reused everywhere.
