Vehicle Monitoring Module: GPS Tracking and Fleet Management for Construction

ProjectSathi Team·30 November 2024·5 min read

Track vehicles, monitor fuel consumption, and optimize fleet operations with the Vehicle Monitoring module.

Diesel is one of the easiest costs to lose track of and one of the hardest to argue about after the fact. Fuel is bought in cash at scattered pumps, logged inconsistently, and reconciled — if at all — against a mileage figure nobody trusts.

Start with a vehicle master

The Fleet & Mobility module keeps a master record per vehicle: type, registration, owner, assigned driver, and current site. Owned and hired vehicles both belong here. Without that list, cost analysis is impossible because there is nothing stable to attribute costs to.

Fuel logs with evidence attached

Drivers log fills with a photo of the bill, and those fills reconcile against mileage and route. The photo is what makes the log defensible — a fuel entry with a bill image and a recorded odometer reading can be checked, while a number written in a diary can only be believed or disbelieved.

Reconciliation is where leakage actually surfaces. Individually plausible fills become visibly wrong when consumption is compared against distance covered over a few weeks.

Movement tracking tied to work

Movement is recorded by GPS or manual logs and assigned to a project and site. Attribution is the point: a vehicle cost that cannot be assigned to a project cannot appear in that project's P&L, which is how equipment costs end up as an unexplained overhead.

Maintenance as a schedule, not a reaction

Scheduled services, breakdown history, and parts tracking are held per vehicle. A breakdown mid-pour costs far more than the repair, and machines that are serviced on a schedule fail less often at the worst possible moment.

Compliance before the fine

PUC, fitness, insurance, and permit expiries generate alerts before the date passes. This is the most mechanical benefit in the module and often the first one noticed — an expired permit stops a vehicle at a check post and delays whatever it was carrying.

Cost analytics per vehicle and per site

Fuel, maintenance, and contract costs roll up per vehicle and per site. The useful output is comparative: once cost per vehicle is visible side by side, the outliers are obvious, and the question shifts from whether there is leakage to which vehicle is causing it.
