BOQ & Invoicing Module: Automated Bill of Quantities and Invoice Management
Create accurate BOQs, generate invoices automatically, and track payments with the BOQ & Invoicing module.
For an Indian contractor, the BOQ is the contract's arithmetic and the RA bill is how that arithmetic turns into cash. When the two live in separate spreadsheets, every billing cycle becomes a re-entry exercise — and every re-entry is a chance to introduce an error that a client's engineer will find.
Item-level BOQ with version history
The BOQ & Billing module imports from Excel, structures items into sections and sub-heads, and versions changes with full history. Versioning is the part that matters in disputes. When a rate or quantity changes mid-contract, the question is always which version applied on a given date, and a BOQ that only holds its current state cannot answer that.
Rate analysis you can update centrally
Item rates break down into material, labour, machinery, and overheads, and can be updated centrally. Central updates matter because input costs move during a contract. When steel changes price, you want the effect on every affected item visible immediately rather than discovered at the end.
Certified RA bills without retyping
Running account bills are cumulative: each one restates total quantities executed and deducts what was already certified. That structure is unforgiving — an arithmetic error in one bill contaminates every bill after it. Generating the bill from the same item-level BOQ that holds the certified quantities removes the retyping step where those errors originate.
RA bills, ad-hoc invoices, and debit notes all run through one workflow, so the billing history for a project is in one place rather than distributed across whoever raised each document.
GST handled as part of the bill
Line items are GSTIN-aware and HSN-coded, with CGST, SGST, and IGST split correctly, and output exports to GSTR. Works-contract GST is a routine source of rejected bills and filing corrections, and getting the split right at the point the bill is generated is considerably cheaper than fixing it during a return.
Payment milestones and ageing
Expected versus actual receipts are tracked with ageing analysis per client. For a business where working capital is the binding constraint, knowing which certified bills are overdue and by how long is often more actionable than knowing total revenue.
Exporting to your accountant
Data exports to Tally and Zoho Books. The site system and the accounting ledger do different jobs, and the sensible arrangement is for the operational record to feed the ledger rather than compete with it.
